Privacy policy

Tandem Agent ("we", "us") provides a back office service for real estate agents ("you"): drafting replies to new leads, helping with property searches and reading deal documents. This policy explains what information we collect, how we use it and the choices you have. We are based in Ontario, Canada.
What we collect
- Your account details: your name, email address and brokerage, and the settings you choose in the app.
- From your Gmail, with your permission: new messages in your inbox, so we can find leads; a sample of messages you have sent, so drafts match how you write; and the drafts we create for you.
- What you give us: documents and photos you upload to a deal, MLS results you upload or paste into a search, facts you approve, and notes.
- Records of what happened: which messages were treated as leads, what was drafted, what you sent or skipped, and how much AI processing was used.
- Sign-in information: a secure cookie that keeps you signed in.
How we use it
We use your information only to provide Tandem Agent to you: to find leads, write drafts, rank listings, read documents, send a message when you tap Send, and show you your results. We do not sell your information, use it for advertising, or use it to train artificial intelligence models.
Tandem Agent never sends an email on its own. A message is sent only when you choose to send it.
Information from Google
When you connect your Google account, we ask for permission to read your Gmail messages and to create and send drafts. We use this access only for the features described above, for your own account.
Tandem Agent's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. People at Tandem Agent do not read your Gmail data unless you ask us to for support, it is needed for security or to comply with the law.
Who we share it with
We share information only with the service providers we need to run Tandem Agent, and only what they need:
- Fly.io hosts our servers and stores your data, in Toronto, Canada.
- OpenAI and Anthropic process the text of messages, documents and listings to produce drafts and summaries. Their servers may be outside Canada, including in the United States, so your information may be processed under the laws of those countries.
- Google provides sign-in and access to your Gmail.
We may also disclose information if required by law.
How we protect it
Your information is kept separate from every other agent's. Data is stored on encrypted disks, sent over encrypted connections, and only you can open your account, after signing in with Google. We keep only a fingerprint of your sign-in cookie, not the cookie itself.
How long we keep it
- Deal documents are deleted when you close the deal.
- Searches and their files are deleted when you delete the search.
- If you disconnect Gmail, we stop reading it and delete our access key straight away.
- If you close your account, we delete your information within 30 days. Backup copies are removed automatically within a further 5 days.
Your choices and rights
You can see and change most of your information in the app, pause Tandem Agent, disconnect Gmail, or close your account at any time. You can ask us for a copy of your information, ask us to correct it, or withdraw your consent, by emailing us. You can also revoke Tandem Agent's access to your Google account at myaccount.google.com/permissions.

The people in your emails
The messages we process include information about your clients and leads. We handle it on your behalf, only to help you serve them, and you remain responsible for having their consent where the law requires it, for example under Canada's anti-spam law (CASL).
Children
Tandem Agent is for working real estate professionals and is not intended for anyone under 18.
Changes
If we change this policy, we will update the date above and tell you in the app before the change takes effect.
